The right finance tools reduce this stress significantly. Over the last two years, we've tested five different finance tools in our business processes. Here are our real experiences and recommendations.
QuickBooks: The Standard in Small Business Accounting
QuickBooks is the most widely used small business accounting software worldwide. It handles all the core accounting tasks, such as income and expense tracking, invoice creation, bank account integration and financial reporting.
When I started using QuickBooks for my own agency, the first thing I noticed was automatic categorization. I connected my bank account and all the expenses were automatically sorted into categories. I used to classify hundreds of transactions one by one at the end of every month; now I just approve them.
The invoicing feature is also very handy. Professional-looking invoices are ready within minutes and sent directly to the client by email. When the due date passes, an automatic reminder goes out. Thanks to this feature, our average payment time dropped from 30 days to 15.
A friend of mine runs a small restaurant. Before switching to QuickBooks, they were paying their accountant 500 lira a month just for data entry. Now, thanks to the bank integration, data entry is automatic, and their accountant only looks in once a month for the tax return. They've saved thousands of lira a year.
On the downside, QuickBooks' support for Turkey-specific tax and invoice formats is limited. You may need additional solutions for e-Fatura and e-Arşiv integration.
Stripe: Accepting Online Payments
Stripe is the gold standard for online payment infrastructure. If you want to integrate a payment system into your website or app, Stripe is the most reliable option.
We use Stripe to get paid by our clients. When we send an invoice, the client can click the link and pay by credit card. The payment lands in my account instantly. We used to wait for bank transfers, and sometimes it took a week.
Stripe also has subscription management. I set up automatic payments for clients I work with on a monthly retainer. An invoice is issued and payment collected automatically on the first of every month. Once I set it up, I never had to intervene again.
Wise: International Payments
Wise is a tool that has revolutionized international money transfers. If you work with clients abroad, Wise is a must.
When receiving a thousand dollars from abroad through a traditional bank, I was losing about $50 in fees, plus a bad exchange rate, for roughly $80 in total losses. With Wise, the same transfer costs $8. That means saving thousands of dollars on an annual basis.
Wise's multi-currency account is also very useful. I have USD, EUR and GBP accounts. Whichever currency the client pays in lands in that account, and I convert to TL at a suitable rate. By waiting on the exchange rate, I can time it better.
